Position Summary
We are seeking a dependable, organized, and customer-focused Front Desk Receptionist to support the daily operations of our center. This position serves as the primary point of contact for visitors while providing administrative support to ensure the office runs efficiently.
The ideal candidate enjoys multitasking, communicates professionally, maintains confidentiality, and creates a welcoming environment for clients, families, and staff.
Responsibilities
Reception & Customer Service
- Welcome clients, families, visitors, vendors, and staff in a professional and friendly manner.
- Manage client check-in and check-out procedures.
- Maintain a clean, organized, and welcoming reception area.
- Provide exceptional customer service while responding to visitor inquiries.
Administrative Support
- Answer and route incoming phone calls.
- Respond to general email inquiries.
- Take and distribute accurate messages.
- Perform data entry and maintain electronic and paper filing systems.
- Sort and distribute incoming mail and deliveries.
- Assist management with administrative projects and scheduling as needed.
Office Coordination
- Notify staff when visitors, appointments, or deliveries arrive.
- Monitor visitor sign-in procedures and follow facility safety protocols.
- Support smooth day-to-day office operations.
Confidentiality & Compliance
- Handle confidential information with professionalism and discretion.
- Follow HIPAA and company privacy policies.
- Maintain compliance with company procedures and safety standards.
Qualifications
Required
- High school diploma or equivalent.
- At least 2 years of experience in a receptionist, customer service, administrative assistant, or office support role.
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Proficiency with Microsoft Word, Excel, Outlook, and general computer applications.
- Professional, dependable, and customer-service oriented.
- Ability to maintain confidentiality.
- Successfully pass all required background checks and fingerprinting.
Preferred
- Associate degree or administrative certification.
- Experience working in healthcare, adult day services, disability services, medical offices, or human services.
- CPR and First Aid certification (or willingness to obtain after hire).
